A suitable health and safety management software system is not only a nice to have for any company, but is also very important to ensure that the company meet the legal requirements as set out by the Occupational Health and Safety Act. If a company does not comply with these requirements, strict penalties could be enforced upon them by the Government, and in some cases it could even mean the company has to close its doors.
It is important that all employees are aware of the fact that their safety relies not only on the health and safety management software system installed by the company, but also on their own attitude towards the system. For the system to work effectively, participation by all employees is need at all times.
The specialised management software system should be easy to use and understand. This will ensure that the system is kept up to date by all the employees authorised to work on the system and therefore it will be effective in ensuring the health and safety of the employees.
Systems like these can be implemented at all types and levels of businesses – from corporate offices, farms, and factories, to mines or basically anywhere where people are employed.
The aim of health and safety management software is not to ensure employees fulfil their duty and to keep a watchful eye on them, but to promote a safe and healthy environment for all employees. A good management software system would have been developed in such a way that it suggests guidelines on what to do when an incident occurs, or what to do when a possible incident is identified.
The management software system will also ensure that all legal requirements are met and that areas where the legal requirements are not met, are identified and that companies could act as fast as possible.
With the help of these systems, companies are able to offer their employees effective training in health and safety so that each and every one of them are able to identify a problem which the system might not be able to, and suggest his own solutions.
Reporting incidents or reporting on incidents that have been identified before it has happened is very important. The more details included in a report, the more it will aid the company monitoring the progress of the incident or monitoring the systems put in place to avoid incidents like these in the future; thus, helping to structuring an effective system to ensure safety for all.
While the employees are expected to comply with the laws set out by the Occupational Health and Safety Act to ensure their own safety, it is the employer’s duty to ensure the health and safety management software is used to its full capability and in the correct way. This will ensure that employees work in an environment which isn’t hazardous to their health or safety, and that the company’s production is not halted by accidents.
